1. Agreement to Terms
By creating an account, accessing, or using DuesPilot (including our website, applications, and related services), you agree to be bound by these Terms and our Privacy Policy. If you represent or act on behalf of an organization, community, or company, you represent that you have authority to bind that entity to these Terms. If you do not agree to these Terms, you must not use DuesPilot.
2. Service Description & Financial Boundary
DuesPilot is a dues, recordkeeping, reminder and payment-reporting platform. DuesPilot does not collect, hold, custody, settle or transfer money between users.
DuesPilot provides software tools that allow organizations to configure dues obligations, send reminders, and track payment reports, while enabling members to view their dues and report payments made outside the platform. DuesPilot is not a bank, payment processor, money transmitter, escrow service, lender, or financial institution.
3. Account Registration & Responsibilities
You are responsible for maintaining the confidentiality and security of your account sign-in credentials. You agree to provide accurate, current, and complete registration information. You are solely responsible for all activities conducted through your account and must notify us immediately at support@duespilot.in if you suspect any unauthorized access or security breach.
An organization-level Member ID (such as a flat number or roll code) is an internal identifier assigned by an organizer for recordkeeping; it is not a sign-in password or authentication credential.
4. Organizer Responsibilities
Users who create, administer, or manage an organization ("Organizers") agree to:
- Ensure they possess legitimate legal authority or consent to invite and manage member profiles.
- Set up dues obligations, recurrence schedules, and amounts with factual accuracy.
- Manage permissions and access levels for staff, co-organizers, and members appropriately.
- Review reported payments in good faith, in a timely and objective manner.
- Maintain and correct organizational records when errors or legitimate refunds occur externally.
5. Member Responsibilities
Users who track and report payment obligations ("Members") agree to:
- Verify their obligation amounts and due dates as designated by the relevant organizer.
- Complete actual dues payments directly through the external payment channel agreed upon with the organizer.
- Submit true, accurate, and non-misleading payment reports, reference numbers (such as UTR), notes, and proof.
- Direct any inquiries, billing disputes, or refund requests regarding external money to the relevant organizer.
6. Invitations & Organization Memberships
Joining an organization occurs via invitation or supported onboarding flows provided by the organizer. Access to an organization’s private workspace is governed by the organizer’s relationship with the member. Leaving an organization or closing a personal user account does not automatically purge valid operational or audit records maintained by the organization.
7. Payment Reporting & Human Verification
Submitting a payment report in DuesPilot creates a pending record in an "awaiting verification" status; it does not indicate that money was transferred, processed, or received.
Payment reports are reviewed by authorized organizers who may verify, reject, or request clarification on the submission. A verified status reflects human confirmation by an authorized organizer within that workspace. DuesPilot does not independently connect to bank accounts or verify external bank transactions.
8. Accuracy of Records
All dues data, member rosters, notes, and payment report records reflect information entered by organizers and members. DuesPilot does not guarantee the factual accuracy, validity, or enforceability of any obligation created or reported by users. Users are responsible for confirming external transactions through their respective financial institutions.
9. Reminders & Notifications
DuesPilot may transmit reminder notifications regarding upcoming, due, or overdue obligations via in-app alerts, push notifications, or email where supported and configured. Notifications are provided as an administrative convenience and depend on device settings, network availability, and third-party delivery services. Failure to receive a reminder does not relieve a member of their external obligations.
10. Acceptable Use Policy
You agree not to use DuesPilot to:
- Violate any applicable local, state, national, or international law or regulation.
- Submit false, fraudulent, deceptive, or misleading dues records or payment reports.
- Impersonate any person or entity, or misrepresent affiliation with an organization.
- Upload sensitive financial secrets such as credit/debit card numbers, CVVs, PINs, or banking passwords.
- Interfere with, disrupt, or compromise the integrity, security, or availability of the platform.
- Transmit malicious code, viruses, or automated scrapers.
11. Suspension & Termination
DuesPilot reserves the right to suspend or terminate account access, with or without notice, in cases of suspected fraud, security threats, illegal conduct, repeated terms violations, or platform abuse. You may terminate your account at any time by requesting deletion as detailed on our Account Deletion page.
12. Intellectual Property
DuesPilot, its trademarks, product name, logos, software, designs, algorithms, text, and user interfaces are the proprietary property of DuesPilot and its licensors. You are granted a limited, non-exclusive, non-transferable, revocable license to access and use the platform solely in accordance with these Terms. You retain ownership of the data and content you upload to the platform.
13. Third-Party Services
DuesPilot may utilize third-party identity, database, hosting, and notification providers. These third-party services are subject to their own respective terms and privacy notices. DuesPilot is not responsible for the performance, reliability, or acts of independent third-party services.
14. Service Availability
We strive to provide dependable, continuous software availability. However, DuesPilot is provided on an "as is" and "as available" basis. We do not warrant that service operations will be uninterrupted, error-free, or fully secure, and we may perform periodic maintenance or modify features over time.
15. Disclaimers of Warranties
To the maximum extent permitted by applicable law, DuesPilot disclaims all warranties, express, implied, statutory, or otherwise, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy. DuesPilot does not provide financial, legal, tax, or banking advice.
16. Limitation of Liability
To the fullest extent permitted by applicable law, in no event shall DuesPilot, its directors, employees, partners, or agents be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business interruption, or for damages arising from external payment transactions, member-organizer disputes, or unauthorized account access. Nothing in these Terms limits liability that cannot legally be excluded under applicable consumer protection laws.
17. Dispute Resolution & Governing Law
These Terms and any dispute arising from your use of DuesPilot shall be governed by and construed in accordance with applicable laws. We encourage users to contact support@duespilot.in first to resolve any differences amicably. Any formal dispute shall be subject to the exclusive jurisdiction of the competent courts of jurisdiction.
18. Modifications to Terms
We reserve the right to modify these Terms at any time. When updates are published, we will revise the "Last updated" date at the top of this document. Continued use of DuesPilot following notice of changes constitutes acceptance of the modified Terms.
